Buyer's guide

How to choose property management software in the UAE

Twelve questions that separate software built for UAE rentals from software that merely runs here — and a thirty-minute test to put any vendor through.

Most rental offices in the UAE run on some mix of spreadsheets, WhatsApp, a cheque register in a drawer and a separate accounting package. When it is time to replace that mix, the hard part is not finding software. It is telling which systems actually fit the way UAE rentals work: rent paid in post-dated cheques, money held for landlords, VAT that applies to some leases and not others, and landlords and staff who work in Arabic as well as English.

This guide is for office owners, managers and accountants comparing options. It is written by the people who build PropertyDesk, so read our own answers with that in mind. The twelve questions work for any vendor.

The four options offices usually compare

  • Spreadsheets plus a separate accounting package

Cheap and familiar, and fine for a handful of units. It breaks when cheques bounce, contracts renew or a landlord asks for a statement: each of those means typing the same facts in two places. The books and the operation drift apart, and nobody notices until the year end.

  • Global property management systems built for other markets

Mature and polished, but usually designed around monthly card or bank payments, tax rules from elsewhere, and English only. Post-dated cheques, UAE VAT on commercial leases and Arabic statements tend to be workarounds, if they exist at all.

  • ERPs and accounting software with a property add-on

The accounting is strong, but the rental operation is often thin: contracts, cheque schedules, renewals and landlord reporting become custom set-up, and set-up costs money and time.

  • Property management systems built for the UAE

These start from local practice. Quality varies, so the twelve questions below matter most here.

Twelve questions to ask any vendor

  1. 01

    Post-dated cheques

Can I record a year's cheques in one step from the contract, and does every cheque follow its own life: received, deposited, cleared, bounced, replaced?

  2. 02

    Bounced cheques

When a cheque bounces, what happens on its own? Who is told, and does the balance owed by the tenant change everywhere at once?

  3. 03

    Landlord money vs office money

Rent collected for a landlord is not the office's income: it is money held for someone else until it is paid over. Does the system keep the two apart in the books, and can it show each landlord what is held for them?

  4. 04

    VAT

Residential leases are generally exempt; commercial leases carry 5%. Does the system know which is which for each contract, and does it issue proper tax invoices?

  5. 05

    E-invoicing

The UAE's e-invoicing programme phases in from 2027. Can the system tell you today which details your invoices would be missing? Be wary of anyone claiming accreditation before the authority has accredited them.

  6. 06

    Arabic

Is Arabic complete — every screen, report and PDF — or only a translated menu?

  7. 07

    Contracts and renewals

Does it warn me before contracts end, and show which rented units have no valid contract?

  8. 08

    Landlord reporting

Can landlords see their own units, rent and cheques without phoning the office? Is the monthly statement automatic?

  9. 09

    Getting started

Can my existing spreadsheets be imported, and who does the work?

  10. 10

    Getting out

If I leave, how do I take my data with me, and in what format?

  11. 11

    Pricing

Is it priced by units, by users or by module, and what does the next tier cost when we grow?

  12. 12

    What it does not do

Ask directly. A vendor who cannot name a gap has not thought about your office.

How PropertyDesk answers those questions

Our own answers, including the gaps.

  • Post-dated cheques

The cheque schedule is generated from the contract — start date, rent and number of cheques — and each cheque has its own status and history.

  • Bounced cheques

Marked once. Tenant and landlord can be emailed automatically, staff see it in their notifications, and the office can open a legal case with the claim filled in.

  • Landlord money

A double-entry ledger where rent collected for landlords is held as owed to them, not booked as office income. Our accounting page shows the actual entries.

  • VAT

VAT treatment is set per contract, and UAE tax invoices are issued from the system.

  • E-invoicing

A readiness check lists which invoices would miss the 2027 format's details. No accreditation is claimed.

  • Arabic

Every screen, report, PDF and email in English and Arabic.

  • Contracts

Contracts expire on their own, renewals are flagged in advance, and rented units without a valid contract are listed.

  • Landlords

A read-only landlord portal with passwordless sign-in, and an automatic monthly report.

  • Getting started

Import from spreadsheets. For offices in Sharjah and Ajman, we migrate the data ourselves.

  • Getting out

Lists and reports export to Excel or CSV and PDF.

  • Pricing

By portfolio size: AED 349, 699 or 1,199 a month for up to 50, 150 or 400 units, with every module included.

  • What it does not do

No tenant app or tenant portal, no online rent collection (payments are recorded, not processed), no native mobile app (it runs in the phone's browser), no connection for other software (data moves by spreadsheet), no document storage, no automatic late fees and no utility billing.

A thirty-minute test for any demo

Ask the vendor to do these live, in front of you. If any of them needs “we’ll set it up later”, you have learned something important.

  1. 01

    Bounce a cheque

Create a one-year contract with four cheques, then bounce the second one. Watch what changes on the tenant, the landlord and the books.

  2. 02

    Show a landlord's money

Show what the office holds for one landlord today, and print that landlord's statement in Arabic.

  3. 03

    Follow the VAT

Issue an invoice on a commercial lease with VAT, then show where that VAT appears in the tax report.

  4. 04

    Import your own data

Import ten units from a spreadsheet you bring.

Questions offices ask

Is property management software worth it for a small office?

For an office with more than a few dozen units and post-dated cheques, usually yes: the time saved on cheque follow-up and landlord statements alone tends to cover it. Below that, a well-kept spreadsheet can be enough.

What is the difference between a property management system and accounting software?

Accounting software records money. A property management system records the rental operation — landlords, units, tenants, contracts and cheques — and, in better systems, writes the accounting entries from it, so nothing is typed twice.

Do I need separate accounting software as well?

Not if the property system has a real double-entry ledger, VAT invoicing and reports your accountant can work from. Check this with your accountant before you buy.

Can I try PropertyDesk before deciding?

Yes. There is a 14-day free trial. You can also book a demo first, and we will show it working on realistic data, including the thirty-minute test above.
