About the product
What is PropertyDesk?
PropertyDesk is a cloud-based property management and accounting system for rental offices and property management companies in the United Arab Emirates. It manages landlords, buildings, units, tenants, contracts, post-dated cheques, commissions, VAT invoicing, maintenance and legal cases on top of a full double-entry ledger, with every screen available in English and Arabic. It runs in a browser and starts at AED 349 a month.
Who is it for, and who is it not for?
It suits UAE rental offices, property management companies and landlords with managed portfolios, from a handful of units to several hundred. It is not built for hotels or short-stay rentals, for listing syndication to property portals, or for markets outside the UAE. Very large developers running thousands of mixed-use units are usually better served by an enterprise ERP.
Cheques and contracts
How does post-dated cheque tracking work?
Every cheque carries its number, bank, amount, due date and a status that moves through received, deposited, and then cleared, bounced or replaced. The dashboard surfaces cheques due tomorrow, due this week, awaiting deposit and anything bounced. Automated emails can be sent to the landlord, the tenant or both when a cheque is due tomorrow, bounces or clears — each of those alerts is switched on or off individually by the office.
Do I have to enter every cheque by hand?
No. Enter the contract start date, the annual rent and the number of cheques, and PropertyDesk generates the whole schedule: the rent divided equally with the rounding remainder absorbed by the final cheque, and due dates spread evenly across the lease term. Your agent types only the cheque number and the bank for each row. On save those rows become real cheque records linked to the contract.
What happens when a cheque bounces?
The cheque's status changes, an alert email can go out the same day, and the amount becomes a receivable owed by the tenant. If that cheque was linked to an invoice payment, the payment reverses automatically. The accounting treatment differs depending on whether the cheque had already been deposited — if the bank had credited and then reversed it, the bank account is credited back; if the cheque was still in the safe, the bank is never touched.
Will it warn me before a contract expires?
Yes, at 90, 60, 30 and 7 days. Contracts also expire on their own once the end date passes, without anyone remembering to do it, and a contract whose tenant is still in place after expiry is flagged as a holdover rather than quietly disappearing.
Accounting, VAT and invoicing
Does PropertyDesk include real accounting?
Yes — a genuine double-entry ledger, not a summary of income and expenses. It has 31 accounts, 32 voucher templates covering real rental transactions, eight financial reports (trial balance, profit and loss, balance sheet, VAT, receivables aging, tenant ledger, owner statement and landlord ledger), period locking, journal reversal and an immutable audit log. Staff choose a named template rather than picking accounts themselves.
Why does rent not show as income?
Because in an agency arrangement it is not the office's income. Rent collected on a landlord's behalf is a liability owed to that landlord, so it credits the landlord funds payable account rather than rental income. The office's own revenue is its management fee, its letting commission and its other service fees. Booking rent as income overstates revenue and produces a VAT position an office cannot defend.
Can it replace our separate accounting software?
For a rental office, yes, and that is the usual reason offices move. The ledger, the reports, the VAT treatment and the audit trail are all built in, and transactions generated by operations — a cheque clearing, an invoice paid, a repair completed, a lawyer's fee — post their own journals as they happen. Everything exports to CSV, so an external accountant can still work in their own tools. Which UAE VAT invoice types are supported?
Seven, covering rent, management fees whether deducted or separately billed, letting commission, NOC fees, renewal and administration fees, late payment penalties and custom items. Each produces an A4 tax invoice carrying your TRN and a 5% VAT breakdown, which can be emailed to the client with a delivery log. Credit notes carry their own document sequence, as required, and are never applied by editing the original invoice.
Can it invoice the same management fee every month automatically?
Yes. Recurring schedules issue invoices on a chosen day each month, including the last day of the month where that is what you mean. A schedule can stop on a date or after a set number of invoices, and invoices for one landlord across several contracts can be bundled into a single document.
UAE specifics
Does PropertyDesk integrate with Ejari or MOLLAK?
There is no live API integration with either government system. What PropertyDesk does is fill the official Dubai Land Department Unified Tenancy Contract with your own records — parties, property, rent, payment mode and term — and give you the finished PDF ready to print and sign, with the signature and date boxes left blank as the law requires. For most offices that is the part of the workflow that was costing time.
Which emirates does it cover?
All seven equally — Dubai, Abu Dhabi, Sharjah, Ajman, Umm Al Quwain, Ras Al Khaimah and Fujairah. Emirate is a filter on every module, so a portfolio spread across several emirates behaves normally rather than needing separate accounts. The official tenancy contract auto-fill currently covers the Dubai Land Department form, and the design takes one template per emirate so others can be added.
Is the Arabic interface complete, or partial?
Complete. The interface, forms, dashboards, filters, email notifications, reports and generated PDFs are all available in Arabic, with correct right-to-left layout throughout and proper glyph shaping in PDFs. Each user chooses their own language and can switch it live, and each landlord receives their monthly statement in whichever language they prefer.
Running it day to day
How long does it take to move off spreadsheets?
Usually a single day. Six bulk importers load landlords, buildings, units, tenants, contracts and cheques from CSV, and relationships between them are matched by name and contract number rather than retyped. Spreadsheets do not need to be tidy or match a template first — sorting that out is the ordinary first step of a migration.
Can I stop staff changing sensitive details without approval?
Yes. You write a rule in plain language — for example, that a change to a landlord's bank name or IBAN must be approved by the manager. A matching change is not saved; it is captured as a before-and-after comparison for an approver to accept or reject, and the record is locked from further editing until they decide. Approved changes are then applied through the system's normal save path, so everything downstream behaves as if the change had been made directly.
Can landlords check their own portfolio?
Yes, through a read-only portal. The landlord receives a sign-in link by email — there is no password and no user account on your system — and sees only their own properties, leases, cheque schedule, statement, maintenance, cases and invoices. There is no landlord-facing endpoint that writes data, sign-in tokens are stored only as hashes, and record identifiers in URLs are re-verified so one landlord can never reach another's records.
Do landlords get reports without anyone preparing them?
Yes. On the first of every month each landlord is emailed a portfolio statement covering occupancy, cheques received, income and contract changes. It carries your branding rather than ours, goes out in the landlord's preferred language, and requires no action from your staff.
Is there a mobile app?
No native app. The system is responsive and works in a phone browser, which covers checking the day's cheques and contracts, but a dedicated iOS or Android app does not exist today.
Can tenants log in and pay online?
No on both counts. There is no tenant self-service portal — the portal is for landlords only — and there is no online rent-collection payment gateway. Rent is collected the way UAE offices collect it, principally by post-dated cheque and bank transfer, and PropertyDesk tracks that rather than processing card payments.
Cost, data and leaving
How much does it cost?
Three plans: Starter at AED 349 a month for up to 50 units and 2 users, Professional at AED 699 for up to 150 units and 5 users, and Enterprise at AED 1,199 for up to 400 units with unlimited users. There is a one-time setup fee of AED 1,500 covering migration and training. Plans differ by portfolio size and user count only — every feature is in every plan. Above 400 units there is a custom tier with no upper limit.
Can I export everything and leave?
Yes, at any time and without asking. Every listing page exports to CSV, all eight financial reports export to CSV, and the raw journal ledger exports in full. Nothing is stored in a format that is only readable inside PropertyDesk. There is no minimum term on monthly billing and no cancellation penalty.
Who can see the accounting?
Access is controlled by role. There is a dedicated accountant role that sees the financial module and not the day-to-day operational screens, which keeps the books separate from operations. Manager and staff roles see different things again, and the whole accounting module can be switched off entirely for offices that keep their books elsewhere.
